INTRODUCTION
This guide is for primary and secondary managers of a structure and covers the following functions :
- Managing structure connection requests
- Managing area subscription requests
- Connecting a user on the initiative of the manager
- Resetting a user’s activation email
- Transferring the primary manage role
- Declaring the change of SIRET of a structure
- Viewing the history of actions performed by the manager
- Accessing flow rejects
MANAGER ACTIVIES
To access the various features of Chorus Pro, the user must be connected to the structure on which he/she must intervene.
Each structure is firstly created and then managed and configured by a primary manager who is responsible for validating connection requests from his users.
To access these functionalities, click on the “Manager activities” area :
The overview screen below is displayed. This screen allows you, as a primary or secondary manager, to perform the following :
A. Manage connection requests to structures / services.
B. Manage area subscription requests.
C. Search and modify structures. Connect a user to a structure.
D. Get the history of the actions performed.
E. Manage and search users by structure (especially when a user outside Chorus Pro wants the activation mail to be resent).
F. Export users in order to have better visibility on their authorisations.
In the « The structure connection requests » section below :
You can :
View the list of services related to the structure to which the user wishes to be connected (in the case that structure has services)
Access the request and validate it
Refuse the request ;
or
By ticking the checkboxes, it is possible to validate/reject several requests at once.
The “validate” and “Refuse” actions (either unitary or mass) trigger a notification email informing the user about the change of status of his connection request to the required structure or service.
After clicking on the « Validate » icon, the screen below is displayed (in case of a connection request to a structure without services) :
The manager can then view the connection request which includes :
- Information about the structure and the requester.
- The Comment entered by the user.
After viewing the request, the manager can modify the role of the user, in the “User” section (secondary manager or simple user).
Once his choice is made, the manager can :
Validate the request
Refuse the request
Return to the overview screen of the “Manager activities” area.
In case of a structure with services, the request presents the list of the active services for the structure :
The « Colour code » allows you to view the status of the user’s connection request to the structure :
- The « Validated status » indicates the services to which the user is already connected;
- The « Validation in progress » indicates the services to which the user isn't already connected because the Manager didn't accepted his request yet;
- The « Refused » indicates the services to which the user isn't connected because his request has been refused by the Manager;
- The « Deactivated » indicates the services to which the user has been connected but is no longer connected;
- The « Deleted » indicates the services to which the user is no longer connected;
- The absence of status indicates the services to which the user is not connected or for which he did not request a connection.
Services to which the user is already connected are checked, greyed out and are not editable.
If the manager has chosen to click on the « Refuse » button, the window below is displayed :
The manager enters the reason for refusal and clicks on the “Confirm” button to validate the refusal of the connection request.
Definition : an area represents a set of functionalities (e.g. : received invoices, issued invoices). The access to areas depends on the user status (primary, secondary manager or simple user).
Principle : the connection to a structure allows you to access by default the following areas :
There are two level of administration :
- At the structure level (for one or more services of the structure);
- At the user level of the structure (for a particular user).
A connection request can be issued :
- Automatically after the configuration of the structure by the manager ;
- Manually by the user if he wishes to access a specific area.
In the « Area subscription requests » section below :
You can :
View the list of area subscription requests issued by users
Access the request and validate it
Refuse the request
When ticking checkboxes, it is possible to “Validate or “Refuse” several requests at once.
The “Validate” and “Refuse” actions (unitary or mass) trigger a notification email that inform the user of the change of status of his/her subscription request to a structure’s area or service.
After clicking on the « Validate » icon, the following screen is displayed :
The manager can then view the subscription request which includes :
A - Information about the structure concerned and the requester.
B - The list of areas requested.
C - Service(s), if there are on the structure.
D - Comments is by default in modification (to create and modify invoices, requests…).
E - Comments the user may have entered.
Once the request has been viewed, the manager can :
A - Modify, if necessary, the access rights to the requested areas by checking/unchecking the « Modification” or “Show” boxes.odifier si besoin les droits d’accès aux espaces demandés en cochant ou en décochant « Consultation » ou « Modification » ;
B - Add a comment.ajouter un commentaire.
Click on « Validate » to confirm the request.
If the user has chosen to click on the « Refuse » icon, the following window is displayed :
The manager enters the reason for the refusal and clicks on the button to confirm the subscription request refusal.
Different scenarios may be encountered for the connection of a user to a structure at the manager’s initiative :
- Connecting a user with a Chorus Pro account
- Connecting a user without any Chorus Pro account
- Connecting a technical user
The processes are explained in the following chapters.
From the « My structures » section :
Click on to consult/modify the requested structure.
The consultation page is displayed. Go to the "Structure connected users" section below :
Click on « Connect a user ».
The user search page is displayed :
The manager must enter at least one criteria to start the search or several criteria in order to refine the search.
Click on “Search” to get the results.
Click on the « Validate » button. The connection screen then displays.
The manager must then :
A - Select the user role :
- Secondary manager,
- Simple user.
B - Enter a comment.
Manage services authorizations :
C - Either by checking the SIRET code of the structure if the user operates on all the structure,
D - Or by checking only the services concerned if the user only operates on part of the structure.
Click on « Validate » to confirm the connection.
The user is then informed via his/her contact email address already in the system.
The manager of the structure can also set up himself the account of the person he wishes to connect to the structure.
> From the user search screen
Go to the structure modification screen, then in the “Structure connected users” section, click on the “Connect a user” button. The user search screen appears :
Enter at least one criteria and click on the “Search” button.
Then click on the ”Create the user account” button which becomes accessible. The screen for entering a new user is displayed. Fill in all the mandatory fields (indicated by an asterisk) and click on “Create the new user” to validate your entry.

Please note that the login email address may differ from the contact email address.
Activation of the user account :
- Once one of the above action has been completed, the user will receive an activation email.
- He/she will have to click on the link tin the email to access their account on Chorus Pro.
Some structures have chosen to connect their information systems to Chorus Pro using the API mode.
In order to make the connection operational, the primary manager must create and connect this new user, called « technical user » to the structure.
a) Creating a technical user
In the « Manager activities » area, edit the structure and then go to the « Structure connected users » section.
Click on the « Create a technical user » button (only the primary manager of the structure has access to this functionality. The secondary manager does not see this button on the screen).
Enter the user’s email address and click on « Create a technical user ».
Please note that the login email address may differ from the contact email address.
Contact your IT department or your software publisher to get the information to be entered.
By clicking on “Export login information” you can open/save the summary of the technical user’s account creation in a PDF format.
b) Resetting the password of the technical user
If the user account is already created, the primary manager can reset his password.
Click on « Reset password (technical user) » .
In the confirmation message that is displayed, click on « Confirm ».
OTHER FUNCTIONALITIES
From the overview screen of the « Manager activities » area, the manager can search users by structure.
Click on the “User search” button at the bottom of the screen.
The below screen is displayed :
It is then possible to fill in search criteria :
- For the user : Name, First name, Login email address, Status, City, Country.
- For the structure : Designation and service.
Then click on the « Search » button.
You can also make a new search by clicking on the “Reset” button.
After clicking on the « Search » button, the result of the search displays in the table below :
For each user of this list, you can :
View the list of all structures to which the user is connected.
Edit the user
Access the connection request to process it.
Resend a second activation email to the selected users whose status is “Activation in progress”.
Export a CSV file containing the main information about selected users.
A- The primary manager wishes to keep his/her access to Chorus Pro
The manager will remove the connection to the structure and choose the new primary manager : the previous manager will remain connected to the structure but as a simple user.
He/she must go to the « My account » tab and then to the « My structures connections » section.
Click on one of the two buttons below :
Validate
Delete connection
A confirmation window is displayed :
Select the structure concerned by checking the corresponding box.
Then click on “Validate” .
The following page opens :
You must then designate the new primary manager by filling in the user’s login ID.
You can perform a search by clicking on
Click on the button and confirm this choice.
B- The manager does not want to keep his/her access to Chorus Pro (only for private structures or public structures that does not go through the PIGP)
The primary manager will deactivate his/her account and choose the new primary manager of his/her structure(s).
In the “My account” area, click on the “Deactivate my account” button.
A confirmation windows is displayed to inform you that :
- You can reactivate your account within 60 days,
- You must designate a new primary manager for all structures of which you are the primary manager.
Click on « Designate a new primary manager ».
The following screen is displayed :
You can then designate the new primary manager for all the structures for which you are the primary manager or only for some of them.
Enter the login address of the new manager and click on "Validate". You can also search for it with the magnifying glass.
When a private entity changes its SIRET, the manager must duplicate the related structure on Chorus Pro.
In the “Manager activities” area, modify the structure by clicking on the pencil.
- Then click on the « Change the identifier » button.
- A windows appears inviting you to confirm the action. Click on « Confirm ».
All the data will be recovered except the billing mandate and the technical user account.
The previous structure is then deactivated. However, invoices issued or received before deactivation can still be viewed and processed.
-For local communities, changes are automatically manaed by information transfer from CCL/Bambou -For other public entities, the process is identical to that of private entities (see above).
Enter the new SIRET number in the "Identifier" section and click on "Continue".
All the data will be recovered except the billing mandate, the technical user account, the PACAGE number, the social security scheme, the intra-Community VAT number and the EDI/API connection information.
The previous structure is then deactivated. However, invoices issued or received beforce deactivation can still be viewed and processed.
New information is appearing on your structure sheet : This is the first/primary structure identifier which allowed to make the link with the duplicated structure.
When modifying the structure, a warning message appears if no invoice mandate has been created. The message specifies that for Justice Cost Invoice and TIC refund requests, the invoice mandate isn't mandatory.
Therefore, you'll have the option to "Subscribe to an invoice mandate" or "Continue" without this mandate. This message will be displayed whenever the structure changes.
The history section lists all actions performed on the structure (list of subscriptions and connections processed).
After clicking on the icon , the manager can view the details of a request for a connection to a structure or services.
The « Comments » column specifies the action performed by the manager :
- « Subscription/Connection validation » : connection or subscription request validated ;
- « Subscription/Connection refusal » : connection request refused ;
- « Deactivation of the subscription» : subscription request deactivated (status generated automatically after the deletion of a connection to a structure).
- « Deletion of the attachement » : connection deleted.
An « Access EDI rejects » button is available from the logged-in homepage.
This feature, which is visible only to primary and secondary managers, provides access to the rejection of invoices issued by flow; these can be :
- In EDI mode or via TDT (Tele transmission Third Party)
- In API mode
- In portal mode via the « Invoices submission » tab of the « Issued invoices » area for XML and PDF/A3 formats.
After clicking on the button, the following screen is displayed :
It is then possible to download one or more files to view the detail of payment requests sent via flow that have been rejected by Chorus Pro.
The CSV file contains the reasons for a rejection as well as information such as the designation of the issuing structure, the file date, the payment request number, etc.
Generated files whose creation date is greater than 15 days are purged.
